JOB DESCRIPTION

The position entails assisting the Capital Projects Department at the hospital in managing the P3 facility management contract. This includes direct oversight of day-to-day operations of the service provider, audit contractual requirements and managing the variation process. The coordinator will manage small to medium size projects from planning, to design, to construction and assist in the property management of the hospital's medical buildings.


RESPONSIBILITIES
• Assist in managing our P3 contract working with Capital Projects, onsite facility management staff and hospital staff as required:
o Review monthly reports and help prepare a response.
o Review corrective and preventative maintenance work orders to ensure they are complete with the root cause addressed and ensure correct call priorities.
o Ensure P3 contract compliance of the output specification, payment mechanism and other contract schedules including the application of KPIs.
o Manage the variation process including tracking dates and times of key deliverables
o Review shutdown and temporary repair requests
o Provide interpretation of construction documentation, including: shop drawings, specifications, design drawing, RFI's, Project Agreement etc., to provide clarity on ownership, obligations and design compliance.
• Planning and overseeing small to medium construction projects from:
o Schedule
o Budget
o Design
o Construction

• Managing all Corrective and Preventative maintenance at the hospital's medical buildings within budget and schedule:
o Landscape and winter maintenance
o HVAC/ Equipment Maintenance
o General Building Preventative and Corrective Maintenance

• Attend and take minutes for various hospital and facility management meetings as required.
• Organize and maintain invoices, purchase orders, meeting minutes and maintenance records.

QUALIFICATIONS AND EXPERIENCE

• Possess a Diploma or Degree from a recognized Architecture or Engineering or Facilities/Project Management or Business program (applicable work experience in lieu of a degree will also be acceptable).
• Minimum 2-to-5-year experience, hospital or contract experience is an asset.
• Excellent time management skills and the ability to handle a complex workload.
• Strong knowledge on project management, building maintenance, mechanical systems, and troubleshooting.
• Superior Interpersonal skills and communication skills in both verbal and written reporting.
• Solid understanding of complex drawings, specification and contracts are essential.
• Self-motivated, able to work independently and collaboratively as a team member.
• Solid organizational skills and attention to detail.
• Able to use computer programs such as AutoCAD, Revit, Microsoft Excel, and Word.
• Knowledge of applicable Building Codes, regulations, and industry best practices.
• Building automated systems or computerized maintenance management system experience would be an asset.
• Ability to move materials as needed, ability to lift up to 50lbs, climb a ladder.
