Detailed Overview

Under the general supervision of the Program Coordinator, Youth Crisis Response Program, performs a variety of secretarial and administrative duties including typing technical and non-technical material from draft and/or transcription from dictation equipment.
Responsibilities

  1. Screens incoming materials and calls and prioritizes based on urgency and nature of the request for the attention of the Youth Crisis Response Program staff.
  2. Coordinates the work flow within the program by gathering and compiling information, organizing and recommending administrative procedures for the program, and directing referrals to appropriate and available staff according to program criteria.
  3. Types a variety of documents such as reports, evaluations, consultations and correspondence from written drafts, revisions or dictating machines; transcribes file notes. Composes and signs routine correspondence as directed and/or drafts correspondence for review and signature.
  4. Performs receptionist duties including answering the telephone, taking and relaying messages, and redirecting calls to appropriate resources.
  5. Responds to general inquiries about the Youth Crisis Response Program. Provides information to patients/families regarding available resources in the community/hospital.
  6. Maintains and compiles statistical reports on departmental activities.
  7. Schedules appointments and meetings as directed. Books meeting rooms, types and circulates notices and agenda. Records minutes of meetings; transcribes and distributes same. Maintains appointment calendars for program staff.
  8. Attends various meetings including program team meetings and other interdepartmental meetings as required; prepares and provides information related to meeting agendas.
  9. Sets up and maintains filing systems for files such as patient records and correspondence.
  10. Maintains inventory of supplies and office equipment; prepares purchase requisitions, receives and processes payment requests, for the signature of the Program Coordinator.
  11. Performs timekeeping duties by maintaining timekeeping records for staff and submitting to payroll.
  12. Performs other related duties as assigned.

Qualifications

Education and Experience

Grade 12, graduation from a recognized secretarial program, supplemented by recognized courses in medical terminology plus three years of recent, related experience or an equivalent combination of education, training and experience.
