Description

The Program Services Coordinator is responsible for providing supervision, support and coordination of all aspects of Frontline and Program Services Caseworkers. The incumbent will advocate for individuals who are in need of services and assist with the development of a strong, positive and supportive community. The focus of the work is to strengthen communication, boundaries, safety and trust for individuals to begin to make steps toward getting housed and/or staying housed.

KEY RESPONSIBILITIES:

Supervisory

  • Provide ongoing coaching, mentoring and performance management of direct reports utilizing the SA PEAC system with a review and approval from the Director of Belinda's Place
  • Supervise Frontline workers and Program Services Caseworkers with regard to schedules and procedures, methods, materials and formats, providing back-up support to these positions and their functions as required
  • Monitor and ensure staff practices are in compliance with Policies, Procedure, Operating Principles and Core Standards
  • Assure that all persons coming into contact with Belinda's Place, whether by phone or in person, are treated with dignity and respect by Program Service staff
  • Provide job specific orientation, training and scheduling staff in accordance with government contracts and core standards
  • Manage and maintain schedule for all Program Services Caseworkers to ensure adequate program staff coverage at all times
  • During shift, take lead role in crisis intervention and dispute resolution as required to ensure the safety of residents, outreach clients and staff
  • Participate in the provision of the Case Management Plan including intake, support and other direct services to residents and outreach clients of the facility during shift
  • Ensure directly and through staff, the maintenance of the security and monitoring of the security system
  • Establish and maintain proper records, logs and files for the applicable shift to ensure the smooth operation of the facility, complete in-depth reports for critical incidents; prepare resident files for discharge
  • Ensure that all computer records, reports, logbook entries, intake forms and other administrative tasks are done accurately and consistently as per the personal information protection and electronic documents act
  • Report attendance for staff in UltiPro or to designate
  • Maintain relief employee list / Arrange complete staff coverage during sick / vacation time
  • Provide statistics and monthly reports to Program Services Director
  • Ensure the Program Director is kept informed of all incidents, observations and infractions occurring at Belinda's Place and that the information is properly documented and passed on to the appropriate staff
  • May request materials to be ordered Perform other duties as assigned

Program

  • Ensure the programs are administered as per funding contracts
  • Maintain the front intake desk to ensure all reporting forms are available
  • HIFIS-Ensure data integrity and entries are completed daily at the end of each staff shift
  • HIFIS-ensure all staff are trained and updated on this program
  • Provide oversight to the gathering and collation of data for the Ontario Government (HIFIS) and The Salvation Army (SAMIS) monthly statistics
  • Participate in development, planning and coordination of all program activities
  • Ensure client complaints are handed in accordance with THQ complaint policy and ensure Employee Relations is informed at the Ministry Unit, Belinda's Place
  • Ensure the proper maintenance and use of a computerized office system and proper record keeping of the same in accordance with the Territorial Computer Usage Policy
  • Assist with monitoring clients regarding Restorative Approaches
  • Ensure confidentiality and accuracy of client files
  • Enforce Policy and Procedures, Agency Rules and Expectations consistently
  • Attend and serve on committees as required
  • Assist in planning and operation of special events at the facility as required

Perform other duties as required.

WORKING CONDITIONS:

  • This is a full time position based on 40 hours per week
  • Works day or evening shifts, weekend and statutory holidays as required
  • Work is performed in an emergency housing facility, subject to high client levels and crisis intervention
  • Work is performed to ensure seamless service through shifts
  • The incumbent works in generally agreeable conditions, with the exceptions of high degree of multitasking
  • The incumbent may have little or no travel required

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

  • Minimum college diploma in social services
  • Bachelor of Social Work Preferred
  • A valid First Aid and CPR certificate
  • An alternative level of education and experience may be acceptable

EXPERIENCE AND KNOWLEDGE:

  • Minimum of two-year's experience supervising staff
  • Three years' experience working with homeless
  • Must have thorough knowledge and understanding of Women's issues, Mental Health and Addictions issues,
  • Previous experience with Health and Safety issues
  • Knowledge of community resources in York Region considered an asset
  • Thorough knowledge and a commitment to anti-racism, anti-oppression and equity

SKILLS AND CAPABILITIES:

  • Strong computer skills in Microsoft Office and Office 365
  • Attention to detail, problem solving and analytical skills
  • Able to work in a fast pace environment with conflicting priorities is a must
  • Strong sense of integrity and confidentiality with professional ethics and a balanced sense of fairness and flexibility
  • Excellent oral and written communication skills in English
  • Ability to work independently as well as part of a team
  • Valid Ontario Class "G" Driver's License and a current copy of a Driver's abstract for review and verification that is satisfactory to The Salvation Army, in its sole discretion, an asset
  • Must have good interpersonal/time management skills
  • Ability to remain calm and focused in stressful situations
  • Ability to undergo applicable screening and background checks successfully that are satisfactory to The Salvation Army, in its sole discretion (i.e., The Salvation Army Abuse Registry) and provide an original copy of a Background Check with vulnerable sector screening
  • Ability and willingness to develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities
