Job Summary
The Program Administrator, Basic Clinical Year (BCY) provides complex and comprehensive administrative coordination to support the planning, delivery, and ongoing administration of the Victoria site BCY Training Program. Working within a distributed medical education environment, this role is responsible for coordinating curriculum delivery, managing highly complex resident scheduling, supporting program operations, and ensuring compliance with accreditation and institutional requirements.
The position plays a central role in supporting BCY residents and the Victoria Site Director by coordinating academic programming, maintaining learner records, administering evaluation processes, and managing financial and operational aspects of the program. The incumbent liaises with a broad network of internal and external stakeholders including faculty, preceptors, hospital departments, UBC Faculty of Medicine, and administrative teams across sites.
This role operates in a highly dynamic environment requiring strong organizational skills, sound judgment, and the ability to manage competing priorities with accuracy and discretion. The incumbent contributes to process improvements and supports the effective and efficient delivery of postgraduate medical education.
This position reports to the Undergraduate Administrative Manager and takes direction from the BCY Training Program Manager, UBC PG Administrative Manager, and the Victoria Site Director. The position is based at the Island Medical Program, Royal Jubilee Hospital.
Occasional travel between sites, flexibility in work hours, and availability outside regular hours are required. The position is eligible for a flexible/hybrid work arrangement following probation.
Job Requirements
Experience:
This position requires a level of education, training, and experience equivalent to 3 years of experience working within a comparable environment, preferably within a post-secondary, medical education, or health care setting.

- Demonstrated attention to detail and accuracy in data management and administrative processes.
- Experience with data entry, records management, and database systems.
- Proficiency with standard office software (e.g., MS Office Suite) and comfort learning new systems and technologies.
- Ability to adapt to changing priorities in a fast-paced environment.
Assets:
- Experience with curriculum management or scheduling systems (e.g., One45 or similar).
- Knowledge of UBC Faculty of Medicine undergraduate and postgraduate programs.
- Understanding of hospital and health authority structures and medical terminology.
- Experience with financial administration and tracking in a program environment.
- Knowledge of distributed education models and accreditation processes.
