About the role
Responsibilities
- Utilizes full understanding/knowledge of large scale/broad/ complex scope projects to facilitate the optimal development of large scale/complex projects that will have an impact on multiple areas, programs and sites throughout the Hospital network;
- Conducts sophisticated needs assessment to facilitate defining project scope, goals, plans, deliverables, schedules/ timelines, etc., including, researching and analyzing information, best practices and other relevant initiatives to facilitate large scale project proposals;
- Designs, manages and directs short and long term project plans and actions to ensure projects are appropriately planned, delivered on time/on budget and in compliance with legislated requirement;
- Designs, develops and manages the execution of large/sophisticated communication(s) plans, change management plans and stakeholder engagement plans that will advance project goals and objectives, ensuring appropriate mechanisms are in place to effectively monitor and evaluate project activities and facilitate the optimal delivery of projects;
- Develops best practices guidelines and tools for the effective execution and management of projects;
- Communicates complex project plan and expectations to team members and stakeholders, in a timely and clear fashion to ensure project goals can be optimally achieved;
- Escalates matters appropriately to project sponsors while proposing corrective action plans
- Defines/implements project criteria and disseminates project success criteria and other relevant information to all concerned parties throughout the project life cycle, in a timely manner;
- Utilizes quantitative and qualitative analytical tools to support decision for designed solutions.
- Relies on and uses full understanding/knowledge of project implementation characteristics to facilitate the effective management/implementation of large scale projects and the communication process to ensure clients and other relevant parties are kept in the loop;
- Develops and leads the project implementation process for large scale/complex project plans that will ensure the optimal delivery, execution and implementation of project goals/initiatives including:
- Establishing, developing and implementing a large-scale project communication plan that meets the need of a complex project;
- Identifying, developing and implementing best practices guidelines and appropriate tools for the optimal/effective delivery of large and/or multiple projects;
- Developing and implementing optimal/appropriate interfacing opportunities with identified support groups, (Executive) Vice Presidents, Senior Clinical Directors, Managers, Professional Practice and other relevant parties to roll out project initiatives/specifics, while ensuring compliance with corporate goals and practices;
- Taking the lead in managing deliverables related to assigned projects, including tracking project milestones/ deliverables, ensuring all associated project activities are well coordinated, organized, etc., to ensure the smooth implementation of project objectives/activities;
- Playing the lead role in identifying and managing project dependencies and critical path, taking appropriate action to ensure the ongoing smooth flow of project initiatives;
- Identifying and resolving issues and concerns, in a timely manner, that may hamper project activities;
- Determining, evaluating and providing mitigating plans for risk issues, in a timely manner;
- Tracking and monitoring project activities, utilizing information to develop and deliver progress reports, proposals, requirements documentation, predictions, etc.;
- Managing performance expectation against project team results to determine areas that need improvements and implementing appropriate action to meet established project goals;
- Managing proactive changes in project scope, ensuring crises contingency plans are in place; and budgets are managed
- Acting as the mediator between project participants in cases of disputes;
- Conducting project post mortems post occupancy evaluations and creating recommendations reports in order to identify successful and unsuccessful project elements.
- Collaborate with the Director inmotivating an effective project team, in accordance with the Hospital’s mission and values, implementing strategies to build/foster a team environment built on a culture of respect/trust;
- Delegates project tasks and responsibilities to project staff, in a timely manner, providing direction/leadership for the project team as a coach and mentor; defining and delegating project tasks/accountabilities while directing and supporting the achievement of performance goals;
- Provides knowledge transfer for the project team to facilitate the optimal and timely completion of projects;
- Implements appropriate systems to support the day to day delivery of project staff functional activities;
- Acts as a mentor for project staff to facilitate the provision of excellence in work activities;
- Promotes a teamwork environment where team members from diverse multilingual and multicultural backgrounds can interact productively and efficiently, while providing recognition, feedback and ways to motivate project staff;
- Ensures project team members are well versed on project goals and accountabilities.
- Develops and/or oversees the appropriate collection and documentation of relevant/essential data/information that can be utilized by large scale diverse project team, including the preparation of sophisticated data collection forms for the appropriate capture/ collection of relevant, essential, complex and sensitive data/information for the different stages of multifaceted projects;
- Relies on and utilizes expert/full knowledge/understanding of the reporting cycle and large scale project characteristics to appropriately/effectively lead/manage and facilitate the documentation of large scale projects, initiatives, deliverables and the communication process to ensure clients and other relevant parties are kept informed, including:
- Organizing and chairing large scale meetings, as required to provide updates to relevant parties on project status;
- Organizing, chairing meeting and/or meeting directly with the Project Sponsors and other relevant parties to collect relevant information, to gain full understanding of project requirements and other relevant information, as required, etc.;
- Utilizing information received and other relevant information as a gauge to develop a complex/sophisticated project plan, reports, presentation, slides and other documents, to provide an update on project progress/status, to highlight achievements/areas/ issues/risk that requires further work.
- Promotes an atmosphere of continuous quality improvement for all activities pertaining to large scale projects, while leading and supporting a culture of learning and continuous quality improvement through shared educational opportunities to ensure optimal quality outcomes;
- Leads the collaboration with relevant parties in the development of evidence based measurement and metrics to benchmark performance against industry standards and peer organizations;
- Monitors key performance indicators and provide strategies to correct variances;
- Participates in department/Hospital and stakeholder meetings, workgroups, committees, advisory groups, council and/or other relevant meetings which may have an impact on the project /corporate initiatives;
- Initiates and develops respectful and collaborative working relationships with peers/associates across the Hospital to foster a more productive and satisfying environment for staff, patients and visitors to the Hospital;
- Initiates and develops effective working relationships with external professional associations and peers in other health care institutions to keep up to date on current/emerging legislation, developments and trends.
Qualifications
- Completion of a recognized Bachelor’s Degree required
- Masters degree in related field preferred
- Project Management Professional (PMP) certification required
- Eight (8) to Ten (10) or more years project management experience in a health care environment required ; with lean black belt preferred ;
- Demonstrated excellent experience in facilitation, collaboration and negotiation with multiple stakeholders/service providers required ;
- Excellent verbal and written communication skills with the ability to communicate information/ideas, in a manner that is easily understood by others required ;
- Excellent customer service, interpersonal and listening skills with the ability to effectively interact with staff all levels required ;
- Excellent computer skills e.g., Microsoft Word, Excel and PowerPoint, required ;
- Excellent presentation and negotiation skills with the ability to influence others required ;
- Excellent organizational and time management skills required ;
- Excellent facilitation skills required;
- Effective problem recognition and problem solving skills with the ability to deal with situations where information is difficult to obtain, complex or ambiguous required ;
- Detail oriented with excellent analytical skills related to proposal development/project management required ;
- Ability to effectively analyze complex problems, interpret operational/clinical needs and develop integrated, creative solutions required ;
- Ability to produce work in accordance with Hospital policy and practice required ;
- Ability to manage multiple and often complex projects simultaneously required ;
- Ability to work in a fast pace environment and motivate project staff and others to achieve a common goal required ;
