Healthcare Portfolio Resource Coordinator

Position Overview

Paladin Security is seeking a motivated and detail oriented Healthcare Portfolio Resource Coordinator (PRC) to support our Healthcare Operations team. This position is responsible for portfolio resource coordination, strategic scheduling support, and administrative oversight for assigned healthcare sites.

The PRC plays a critical role in ensuring operational coverage, minimizing overtime, maintaining scheduling accuracy, and supporting frontline deployment needs. This role requires strong organizational skills, excellent communication, and the ability to manage multiple priorities in a fast paced environment.

Schedule & Compensation

  • Monday to Friday
  • 0800 – 1600
  • On call expectations required
  • Annual salary: $46,000

Key Responsibilities

  • Strategically identify open shifts and vacant lines while working closely with the Client Service Team to maintain complete and accurate schedules
  • Extend schedules in Paladin’s WinTEAM scheduling software to ensure Security Guards have visibility of their schedules up to 3 months in advance
  • Maintain scheduling accuracy within WinTEAM, including scheduling, payroll, and billing functions
  • Fill cancellations and open shifts while minimizing overtime costs wherever possible
  • Coordinate with Client Service Managers to proactively address staffing requirements and operational needs
  • Process staff requests within 1 business day of receiving resignations, removals, or staffing changes
  • Issue and manage ongoing and temporary Averaging Arrangements for eligible employees
  • Monitor and maintain Averaging Arrangement compliance within WinTEAM
  • Work collaboratively with operational stakeholders including Clients, Site Supervisors, Security Guards, Client Service Managers, Security Program Managers, and Senior Management
  • Support and process JIRA submissions related to assigned portfolios and respond to tickets within 1 business day
  • Participate in Paladin’s deployment process, including meeting new hires during orientation or uniform issue appointments to coordinate training and scheduling
  • Assist with first and second stage interviews as required
  • Ensure billing accuracy and compliance on a weekly basis
  • Complete payroll processing deadlines, including biweekly payroll lockdowns and month end requirements
  • Prepare and submit overtime breakdown reports within 3 days of payroll lockdown
  • Respond to emails and operational requests in a timely and professional manner
  • Participate in on call operational support as required
  • Perform additional administrative and operational duties as assigned

Skills & Qualifications

  • High School Diploma required
  • Post secondary education in Business Administration or a related field is considered an asset
  • Previous scheduling, dispatch, coordination, or administrative experience is preferred
  • Strong customer service and communication skills
  • Excellent organizational, multitasking, and time management abilities
  • Strong problem solving and decision making skills
  • Proficiency with Microsoft Office programs including Outlook, Word, and Excel
  • Ability to quickly learn and navigate scheduling and operational software systems
  • Ability to work independently and collaboratively within a team environment
  • Must be detail oriented, dependable, and adaptable in a fast paced operational setting
  • Must be legally eligible to work in Canada
