Who You Are You're the face of our clinic — a master of first and last impressions who lives for making people feel welcomed. You understand that health and wellness is connection. You're detail-oriented and ready to take ownership of daily operations.
What You'll Do As our Front Desk Manager, you'll wear many hats and wield significant influence over our patient experience and operational success: Lead with White Glove Hospitality: Greet every patient, staff member, and guest with a warm, intentional demeanor. Orchestrate Daily Operations: Manage appointments, optimize patient flow, and coordinate staff to keep everything running like clockwork. Own Financial & Billing Operations: Oversee payment collection, direct billing, insurance claims, and bi-weekly audits with precision. Manage Medical Office Administration: Maintain accurate patient records and filing systems, and handle confidential health information in line with applicable privacy laws. Maintain Immaculate Standards: Ensure our facility reflects our high-end ethos through regular quality checks, staff delegation, and hands-on oversight of cleanliness and maintenance. Drive Team Excellence: Partner with leadership to set operational standards, delegate tasks, and make real-time decisions that elevate service levels and staff performance. Plan Strategically: Analyze schedules, implement time management systems, and stay one step ahead to prevent bottlenecks and deliver a flawless experience.
What You Bring Experience: A background in service, hospitality, (e.g., retail, high-end hotels, or wellness environments) with a track record of creating exceptional guest experiences. Education: Medical Secretary Diploma preferred; working knowledge of medical terminology. Billing Familiarity: Experience with billing/scheduling platforms (e.g., Noterro, Telus eClaims, ProviderConnect) is an asset. Leadership: Confidence in managing people, processes, and priorities with authority and a collaborative spirit. Organization: Strong organizational and problem-solving skills; meticulous records maintenance; ability to manage multiple priorities and meet deadlines. Confidentiality: Previous experience handling sensitive information, with an understanding of applicable data privacy laws. Communication: Superior telephone manners, strong interpersonal skills, and a genuine customer service orientation. Skills: Proficient with computers and standard office equipment; comfort with administrative and financial systems. Passion: A genuine love for hospitality and belief that making others feel good is its own reward.

Hours & Compensation Full-time position is Monday-Friday 8:00am - 4:00pm with a consistent front-desk presence during operating hours. Start Date will be Tuesday September 8th 2026. Competitive hourly rate commensurate with experience, plus opportunities for performance-based incentives. Starting wage is between $22.00-$25.00/hour.
