Position Summary
Reporting to the Manager of Professional Practice, the Project Assistant, Clinical Services supports the planning, coordination, and implementation of large-scale clinical initiatives within the hospital setting. This role works closely with clinical project leadership and sponsors to facilitate the successful delivery of complex corporate clinical projects.
Acting as a central liaison between internal clinical stakeholders and external vendors, the position ensures effective communication, training tracking and coordination, and project execution. The role contributes to the safe and efficient introduction of new clinical equipment and practices by supporting policy development, coordinating staff education and training plans, and monitoring project progress to achieve organizational goals.
Primary Responsibilities
Assist in the planning, coordination, execution, and evaluation of corporate clinical projects and initiatives including the organization wide implementation of Alaris IV infusion pumps and conversion to Nexiva IV peripheral IV catheters. Track project timelines, milestones, deliverables, and risks to ensure alignment with organizational objectives. Support change management initiatives related to new clinical workflows, technology, products or equipment. Liaise with subject matter experts (SMEs) in nursing, pharmacy, and other areas to support project activities as needed and ensure all clinical and support teams maintain project readiness and timelines. Coordinate, schedule, and track training sessions completion related to new products, equipment or clinical processes. Work with SMEs and vendors to ensure training materials and sessions meet clinical requirements. Follow up with staff and clinical managers to track completion of training and address any gaps in knowledge or readiness. Support needs of Clinical Educators related to co-ordination and documented compliance of training. Support the development and revision of policies procedures, formularies, and related documentation associated with clinical equipment, products, and organizational initiatives. Ensure documentation reflects best practices, regulatory requirements, and organizational standards through engagement with SME’s Support the clinical team’s translation of vendor materials into organizational training materials and policy as needed. Support document approval process and stakeholder feedback for needed changes to pharmacy formulary updates. Accurately record meeting minutes for relevant discussions and compile concise summaries, highlighting key decisions, action items, and follow-ups.
Mandatory Qualifications
2–3 years of experience in a hospital or comparable healthcare setting, with exposure to clinical operations, administration, or project coordination Minimum 2-year college diploma required in business administration, healthcare administration, project management or a relevant clinical discipline Certification in Project Management and/or Change Management (e.g., PMP, CAMP, PRINCE2, PROSCI) considered an asset Bachelor’s degree in health administration or a related field is considered an asset Strong organizational, time management, and interpersonal skills Ability to work independently and collaboratively across all levels of the organization Criminal Record Check required

Demonstrated ability to coordinate complex projects involving multiple stakeholders. Maintain detailed training records, project documentation and communication records. Ability to Identify and communicate hospital clinical team needs to vendors to support effective project delivery. Monitor vendor deliverables and escalate issues or gaps to clinical leaders as needed. Schedule and coordinate meetings with internal teams and external partners. Prepare agendas, record accurate meeting minutes, and track action items to ensure follow-up and accountability.
