About the Role

The Practice Manager, Dental will oversee the daily operations of our dental clinic in the heart of Downtown Toronto. This key role is responsible for ensuring administrative efficiency, staff management, financial health, regulatory compliance, patient satisfaction, and practice growth.

The ideal candidate will bring strong organizational skills, excellent interpersonal abilities, and a deep understanding of dental practice operations within the Canadian healthcare system.

Responsibilities:

Administrative Management

  • Manage appointment scheduling, patient intake, and front desk procedures.
  • Maintain secure and accurate electronic patient records (compliant with PHIPA).
  • Oversee billing procedures, patient statements, and coordination with dental insurance plans.

Staff Supervision

  • Train and supervise administrative and support staff.
  • Participate in hiring panels and inform in hiring decisions.
  • Coordinate team schedules, delegate tasks, and conduct performance evaluations.
  • Foster a collaborative and professional work environment.

Financial Oversight

  • Adhere to and monitor clinic budgets, expense controls, and revenue goals.
  • Submit and track insurance claims through Canadian providers (e.g., CDAnet, NIHB, ODSP).
  • Analyze financial reports to identify trends and ensure the clinic’s profitability.
  • Review and prepare all Administrative & Providers payroll.

Patient Relations

  • Serve as the primary point of contact for patient concerns, complaints, and feedback.
  • Promote a welcoming, respectful, and responsive clinic atmosphere.
  • Implement processes to enhance patient satisfaction and retention.

Compliance & Regulations

  • Ensure compliance with Ontario's Regulated Health Professions Act (RHPA), RCDSO guidelines, OHSA, and IPAC standards.
  • Coordinate staff training on infection prevention, privacy laws, and safety protocols.
  • Maintain up-to-date documentation for inspections and audits.

Marketing & Growth

  • Assist with and contribute to marketing strategies such as digital advertising, community outreach, and referral programs as needed.
  • Monitor and promote engagement of online reputation via Google, social media, and review platforms.
  • Monitor market trends and patient feedback to inform growth opportunities.

Qualifications and Skills:

  • A minimum of 3 years of experience in dental or medical office administration; with 1–2 years in a leadership role preferred.
  • Strong knowledge of dental billing and insurance systems in Ontario (CDAnet, ODA Fee Guide, etc.).
  • Proficiency with Tracker dental software or others (e.g., ABELDent, Dentrix, Cleardent).
  • Solid understanding of Ontario’s healthcare privacy and workplace regulations (PHIPA, WSIB, AODA).
  • Exceptional communication, leadership, and conflict-resolution skills.
  • Highly organized and detail-oriented, with the ability to manage multiple priorities.

Assets:

  • Post-secondary education in healthcare administration, business management, dental office management, or a related field.
  • Experience in digital marketing or business development.
