POSITION: Casual Float Pool Medical Office Assistant (MOA) STATUS: Casual / Float Pool ESTIMATED HOURS: approx. 24 hours per week to start (no guarantee), with opportunity to increase up to 44 hours/week depending on need LOCATIONS: Various Oshawa Clinic Group sites (Whitby, Oshawa, Courtice, Taunton) REPORTS TO: Clinic Manager / Supervising MOA / Department Lead

ROLE SUMMARY
As a Casual Float Pool MOA, you will provide administrative and clinical support across different clinic sites and departments. You?ll act as a dependable resource who can adapt to varied workflows, fill in staffing gaps, and ensure smooth patient flow and office operations.
Your flexibility and strong organizational skills are key ? this role is ideal for someone who thrives in changing environments and enjoys variety.
KEY RESPONSIBILITIES
- Greet and welcome patients in a friendly, professional manner (in person and by phone)
- Manage patient check-in and check-out, verify patient information, update demographics
- Schedule, confirm, and follow up appointments
- Maintain accurate electronic health records (EHR) / EMR
- Assist with billing, insurance verification, and related administrative tasks
- Prepare exam rooms, ensure appropriate supplies, and maintain cleanliness
- Record vitals and take basic patient histories when needed
- Manage telephone inquiries, direct calls appropriately
- Support referrals, requisitions, and other clinical documentation
- Perform general office tasks: filing, scanning, faxing, photocopying
- Ensure compliance with PHIPA, patient confidentiality, and clinic policies
- Adapt to differing workflows, clinicians? preferences, and departmental needs
- Collaborate with clinical and administrative staff to maintain seamless patient care
QUALIFICATIONS & SKILLS
- Diploma in Medical Office Administration or equivalent
- Or at least 5 years of relevant experience as an MOA (or similar)
- Proficiency in electronic health record / EHR / EMR systems
- Strong computer literacy (MS Office, scheduling software, databases)
- Knowledge of medical terminology, billing, and documentation standards
- Excellent interpersonal, written, and verbal communication skills
- Meticulous attention to detail, organizational skills, ability to multitask
- Compassion, empathy, and patient-centric attitude
- Ability to work independently and as part of a team
- Flexibility to float between sites / departments and work varying schedules
- Reliable transportation and the ability to travel to and from all Oshawa Clinic Group sites (Whitby, Oshawa, Courtice,) is mandatory for this position
- Up to date Vulnerable Sector Check will be required (Employer-specific)

Pay: $21.31-$23.50 per hour
