We are looking for a dynamic, creative, and hands-on individual with strong organizational and collaboration skills to lead strategic initiatives that will advance Heart & Stroke's mission.
Working closely under the Sr. Manager, Planning, Evaluation and Strategic Initiatives, the Project Manager will lead the execution of strategic and enabling initiatives that support the work of the Mission team (national and provincial) and broader organization. The Project Manager will coordinate and ensure the development and delivery of projects, methodologies and infrastructure solutions and technologies that meet organizational and business requirements and establish best practices and standards.
The Project Manager will act as the primary point of contact for specific initiatives with other cross-functional teams and work with mission national and provincial leaders as well as internal and external stakeholders, including vendors. Primary responsibilities are to: (1) apply innovative design ideation, integrating emerging technologies, and incorporating subject matter expertise and data-driven evidence to create solutions that meet business requirements and establish best practices and standards; (2) apply rigorous project management, Lean and Agile methodologies across the project lifecycle to ensure milestone and on-budget completion that meet organizational requirements; and (3) effectively implement and sustain organizational change by applying rigorous change management and communication practices.
Project Management - Scope/Quality Management
Facilitate the definition of project goals, objectives and scope.
Gather and document business and system requirements in collaboration with multiple stakeholders including executives, managers, H&S constituents, business teams and vendors.
Create and review the vendor selection process (RFI/RFP), establish criteria and lead vendor demonstrations, as required.
Provide recommendation of best fit vendor based on established criteria, as required.
Work with broader IT team to define hardware, storage, network bandwidth and processing requirements.
Source and investigate possible technology solutions, alternatives and options to meet business needs.
Ensure that all changes to scope follow the change management process and are either approved, cancelled or put on hold.
Manage the successful deployment and normalization of the project.
Ensure that the support structure is in place to support the project following normalization.
Capture lessons learned throughout and at the end of the project, and ensure they are communicated
Project Management - Time/Budget Management
Work with all impacted stakeholders to understand the project activities and document them in a project plan.
Manage the project schedule to ensure the project is delivered within the required timelines.
Identify and manages any project schedule risks/issues/ dependencies.
Work with all impacted stakeholders to understand the budget impacts and documents them in the project budget.
Obtain spend forecasts from each group to measure how we are trending against the budget / tracks budget, risks and communications status
Project Management – Resource / Risk / Communications / Change Management
Ensure that roles and responsibilities are defined for all stakeholders on the project (including the identification of the core team, steering committee and extended stakeholders)
Interface and build relationships with internal and external stakeholders
Ensure that buy-in has been provided by the management team to ensure that the project resources are dedicated as required to the project. Raise any risks associated to resource issues.
Ensure that proper risk tracking is done on the project and properly communicated to the Senior Manager and project committee members for mitigation.
Identify and coordinate cross-functional interdependencies with other departments including key communications.
Develop and executes the change management plan for the project
Execute and manages user acceptance testing and QA.
Develop systems documentation and training plans.
Deliver capacity building or training activities and/or ensure supports are in place.
Ensure satisfactory transfer of all deliverables upon project completion
Post-secondary degree in health related fields, administration or information technology/systems
PM certification (CPM, PMP, CPMO, other) is a definite asset.
Experience and Skills
3+ years of project management experience successfully delivering medium scale projects (websites/applications/tools), working directly with internal and external end-users.
Experience working with and managing external vendors is an asset.
Experience with SharePoint, CRM, CMS, e-Learning tools, Basecamp or other PM tools to support successful project delivery.
Technology development or business analyst work experience would be considered a valuable asset
Familiarity with web technologies, experience with usability and GUI (graphical user interface) design principles.
Exceptional organizational and analytical skills, as well as demonstrated ability to execute multiple projects in a fast-paced, dynamic environment.
